SUMMARY:

The Manager of Executive Operations will provide comprehensive support to the Chief Operating Officer (COO), ensuring the seamless management of responsibilities across multiple high-profile, multi-agency, and regional projects. This role will be a key liaison to the COO, overseeing and advancing critical operations and project deliverables, managing executive calendars, travel logistics, and ensuring strategic alignment across initiatives. The ideal candidate must have exceptional organizational, analytical, and communication skills and the ability to thrive in a dynamic, fast-paced environment. The Manager of Executive Operations will play a pivotal role in ensuring that projects are executed efficiently while maintaining alignment with organizational goals.

Key Responsibilities:

Executive & Operational Support:

  • Manage and optimize the COO’s calendar, ensuring efficient scheduling of high-priority meetings and projects across multiple agencies.

  • Oversee travel arrangements and reimbursement processes for the COO, supporting logistics for high-level engagements.

  • Serve as the COO’s right-hand, acting as the primary point of contact and liaison for internal and external stakeholders.

    Project & Deliverable Coordination:

  • Coordinate and track project deliverables across key agency-wide initiatives, ensuring completion of tasks on time, within scope, and to the highest quality standards.

  • Participate in project meetings, preparing agendas, materials, and reports to ensure all deliverables align with organizational goals.

  • Monitor policies and procedures related to project execution, providing recommendations based on quantitative analyses and summary reports.

    Research & Strategic Analysis :

  • Conduct research on operational issues and initiatives, supporting high-level decision-making with insightful analytical reports and presentations.

  • Draft white papers, executive summaries, and other materials to aid in strategy development and project advancement.

  • Lead efforts in policy analysis, preparing reports and analytics for senior leadership to inform decision-making.

  • Where appropriate, implement recommendations

    Special Projects & Ad-Hoc Support:

  • Manage short- and medium-term initiatives as assigned, balancing competing priorities while ensuring on-time and on-budget project execution.

  • Produce presentations, reports, and other materials for ITST and CBDTP Leadership Teams to track progress and project outcomes.

  • Support confidential, time-sensitive situations, leveraging excellent project management skills to ensure the COO and Executive Leadership team are fully briefed and supported in all operations.

  • Run ad hoc projects as needed to support EHS, Facility Management and Tolling Management from development through execution. These projects could cover areas of research interest (e.g., best practices for dealing with hydrogen fuel vehicles), data analysis (e.g., analysis of non-revenue tag distribution), or operational intervention (e.g., assessment of necklace light outages over the course of a year). They may also involve research and analysis to foster policy recommendations. In each case, the expectation is that the project will be run from the development through execution.

    Cross-Departmental Collaboration :

  • Collaborate closely with senior leadership, departments, and external stakeholders to ensure project goals are met and to facilitate smooth communication and coordination.

  • Provide regular updates to senior executives on project progress, challenges, and potential improvements.

    QUALIFICATIONS

  • Bachelor’s Public Administration, Public Policy, Political Science, Business Management, Business Administration, Management, Finance, Technology, or a related field .

  • Six (6) years of p roven work experience in administrative or project management roles, preferably supporting C-suite executives .

  • Demonstrated experience and proficiency with Microsoft Office Suite including Outlook, Word, Excel and PowerPoint.

  • Proficient in using presentation level graphics software, such as InDesign, to produce publishing quality documents.

  • Knowledge of administrative procedures and systems such as word processing, managing electronic files, records, correspondence and databases.

  • Strong organizational/coordination skills, and demonstrated ability in meeting deadlines

  • Demonstrated project management and analytical skills.

  • Ability to work independently and/or simultaneously on multiple projects

  • Ability to research, synthesize, and clearly present findings for decision making

  • Excellent customer service and interpersonal skills, with ability to communicate effectively both orally and in writing with various departments and levels of management

  • Strong interpersonal skills and ability to influence

  • Must be able to maintain a high degree of confidentiality and discretion.

  • High attention to detail and commitment to quality.

  • Flexibility and resilience in managing a dynamic work environment.

  • Discretion and professionalism in handling sensitive information.

  • Experience in working in a large organization

  • Experience with technology systems is preferred, including but not limited to timekeeping, purchasing, toll/fare systems

  • Understanding of MTA administrative processes
