Job Title: Administrative Support Specialist

Job Summary: We are seeking a highly organized and proactive Administrative Support Specialist for one of our clients. This role involves a variety of administrative and clerical tasks to ensure the smooth operation of our office and support for our tenants and residents. The ideal candidate will be detail-oriented, possess excellent communication skills, and be capable of handling multiple tasks efficiently.

Key Responsibilities:

  1. Inbound Call Management:

  2. Answer and assist callers with inquiries, providing accurate information and resolving concerns effectively.

  3. Screen incoming phone calls and direct callers to the appropriate team members or departments.

  4. Administrative Support:

  5. Handle general office tasks, including responding to emails, sending text messages, and managing electronic filing systems.

  6. Respond to correspondence promptly and follow up as necessary to ensure timely communication.

  7. Tenant and Resident Assistance:

  8. Follow up with tenants and residents to address and resolve any rental-related issues.

  9. Set up appointments for potential tenants to view vacant properties and follow up on inquiries.

  10. Assist in processing rental applications, ensuring that all required documentation is collected and reviewed.

  11. Financial Administration:

  12. Ensure tenant recurring charges are accurate and that any additional incidental charges are correctly posted to the ledger.

  13. Team Support:

  14. Anticipate the needs of team members and provide assistance to ensure seamless operations within the office.

  15. Perform additional general office tasks and administrative duties as assigned by management.

  16. Office Operations:

  17. Provide general support to enhance the efficiency of daily office operations, ensuring that tasks are completed in a timely and professional manner.

Qualifications:

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • Excellent verbal and written communication skills.

  • Proficiency in using office software and technology, including email, phone systems, and electronic filing.

  • Previous experience in an administrative or customer service role is preferred.

  • Ability to work independently and as part of a team.

Working Conditions:

  • Full-time position with standard office hours.

Pay Details: $18.00 per hour
