SUNY Upstate Medical University Senior Administrative Specialist in Syracuse, New York
Job Summary:
Manages a team of administrative professionals (i.e., Patient Service Representatives, Administrative Specialist, Administrative Assistants, & Student Aides)
Interview & hire new staff
Completes new hire orientation
Enters Staff into NEMS
Works alongside of other supervisor and Associate Manager to be sure of efficiency within the team.
Manage workflow
- Assign tasks, set priorities, and manage schedules
Evaluate Performance
- Review work and provide feedback
Train Employees
- Provide training and on-the-job guidance
Motivate employees
- Inspire employees to perform at their best
Communicate
- Act as a liaison between employees and upper management
Resolve Issues
- Help resolve conflicts and disputes between employees
Identify development needs
- Help employees identify opportunities for career advancement
Support
Occasionally step in to assist within the divisions in the event of a critical staffing issue.

Calendar Management
Scheduling meetings, appointments, and calls, ensuring time management and prioritizing tasks.
Meeting Planning
Preparing agendas, coordinating attendees, taking meeting minutes, and distributing follow-up action items.
Travel arrangements
Researching and booking flights, accommodations, and transportation for business travel.
Communication management
Answering and screening phone calls, managing email correspondence, and routing inquiries to appropriate parties.
Document management
Organizing and maintaining electronic and physical files, preparing reports and creating presentations.
Administrative tasks
Handling office supplies, managing expense reports, and coordinating office services.
Project support
Assisting with project management tasks, including timelines and deadlines
Event planning
Coordinating internal and external events, including symposiums and meetings.
Minimum Qualifications:
Associates Degree or pertinent college level courses and four years of administrative/office management experience including supervisory experience. Will consider equivalent combination of education and experience.
