Job Overview:The Volunteer and Donations Coordinator is the community engagement focal point for each office and serves a critical systems support role connecting the talents & resources of the community to meet client needs & programmatic compliance. This role coordinates volunteer & intern support, financial & in-kind donations, as well as communications and outreach. The coordinator will recruit volunteers & interns and design effective volunteer opportunities to support core IRC programming while maintaining donations through procurement, management, and distribution of in-kind contributions from our community of supporters. In addition to volunteer and donations coordination, this role is essential in supporting the overall messaging of the office, including creating branded visuals and content for Facebook, the website, and newsletters. The Volunteer and Donations Coordinator will coordinate external community engagement events and support corporate relations activities. This role plays a key part in advancing the Development and Fundraising strategy for the Northern California region, strengthening community partnerships, expanding donor and volunteer engagement, and enhancing resource mobilization to support IRC’s mission.

Major Responsibilities:

Volunteer Recruitment & Management

  • Develop and implement recruitment strategies, including partnerships with universities, faith-based groups, and community organizations.

  • Screen, orient, and match volunteers and interns with appropriate service opportunities.

  • Collaborate with staff to create and maintain up-to-date service descriptions for all volunteer and internship roles.

  • Conduct onboarding orientations and assist with administrative needs for all new recruits.

  • Manage volunteer engagement in alignment with IRC program objectives and national guidelines.

  • Maintain accurate records of volunteer participation, including tracking hours in the Salesforce volunteer database.

  • Ensure all placements have complete and properly documented files.

  • Recognize and appreciate volunteers through events and ongoing communication.

  • Provide ongoing support to volunteers and interns throughout their service period.

  • Implement the NorCal Volunteer and Intern Program and refine workflows to enhance the volunteer experience.

    Donations Coordination & Development Support

  • Track, pursue, and report on in-kind contributions on a monthly basis in collaboration with Operations Specialists.

  • Oversee storage, inventory, and distribution of in-kind donations across IRC locations in collaboration with Operations Specialist.

  • Develop and execute a donation allocation strategy to support program needs and meet grant match requirements.

  • Collaborate with staff managing match-generating programs to allocate and distribute donations effectively.

  • Submit monthly Community In-Kind (CIK) Reports, tracking volunteer hours and the value of in-kind donations.

  • Integrate donation and volunteer activity tracking into Integra, IRC’s business database, including system development and adaptation.

  • Build partnerships with local community members to secure donations and in-kind contributions.

    Community Engagement & Outreach

  • Conduct outreach to community groups, faith-based organizations, and businesses to secure volunteer support, financial and in-kind contributions, and community sponsorships.

  • Represent IRC at career fairs, fundraising events, and community outreach initiatives.

  • Plan and execute fundraising and outreach events to increase awareness and support, in alignment with NorCal’s Development Strategy.

  • Assist the NorCal Development Manager and Development Director in organizing corporate engagement events and executing the local office’s Corporate Engagement Menu and ensuring office meets fundraising targets.

  • Manage the office’s social media strategy, ensuring compliance with grant requirements and maintaining regular, relevant content.

  • Maintain website content related to volunteer and internship opportunities, in-kind donations, and NorCal newsletter contributions.

    Staff & Program Support

  • Work with Program Managers/Coordinators to assess needs and develop recruitment strategies for volunteers and interns across key departments, including:

  • Train and support staff in volunteer management best practices to ensure a positive experience for volunteers and program staff.

  • Serve as the lead for all Community Engagement efforts and participate in leadership team meetings.

  • Collaborate with the Director to provide insights on volunteer engagement and community outreach initiatives.

  • Engage in IRC Communities of Practice, networking events, and professional development opportunities.

  • Perform other related duties as assigned.

Internal:Operations Specialist, Development Director, HQ Development staff, Grants Managers, direct service Program Managers, Site Directors, Executive Director

External:Local businesses, corporations, faith-based organizations, schools, and community organizations offering volunteer, cash and in-kind support.

Job Requirements:

· Undergraduate degree required. Preferably with an emphasis in communication, non-profit management, human resources, international development or and relevant field of study.

· Minimum of 3 years of demonstrated success in community engagement.

· Excellent Microsoft Office skills and ability to learn new computer applications rapidly.

· Deep understanding of program management and human resource management principles and experience managing diverse teams.

· Proven ability to contribute both independently and as a key team member.

· Demonstrated success working and communicating effectively in a multi-cultural environment.

· Flexible and able to handle pressure well.

· Experience developing and providing orientations and trainings.

· Strong organizational skills in a complex, multi-tasking environment and the ability to manage multiple projects and deadlines.

· Excellent interpersonal communication skills; ability to communicate effectively and diplomatically with current and prospective donors and volunteers, partner agencies, multi-cultural clients and colleagues on all levels.

Language Skills: Fluent in English, both spoken and written.

Working Environment

· Standard office environment, some evening and weekend hours will be required.

· Must have a valid driver’s license with legally required insurance as position may require using own transportation within the service delivery area. Mileage reimbursement is available.

Compensation:Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
