We are seeking a detail-oriented and driven Project Coordinator to serve as the primary contact for subcontractors regarding compliance documentation, invoices, and project closeout documents. The ideal candidate will have a strong understanding of construction administration, excellent organizational skills, and the ability to thrive in a fast-paced environment.

Responsibilities

  • Serve as the primary contact for subcontractors regarding compliance documentation, invoices, and project closeout documents.

  • Develop and maintain relationships with subcontractors.

  • Review waivers and insurance endorsements to ensure compliance with strict requirements.

  • Understand project-specific compliance requirements, including waivers.

  • Request and review subcontractor insurance certificates and endorsements.

  • Compile and distribute waiver packages to title companies.

  • Develop project lien waiver templates.

  • Establish organized filing systems for lien waivers.

  • Prepare pay applications using GC Pay and verify accuracy on retainage.

  • Assist in the pay application process.

  • Track project progress and ensure all documentation is ready for timely payments.

  • Coordinate payment of subcontractors.

  • Research and order on-site necessities such as porta potties and trailers.

  • Engage in negotiation, ordering, and coordination of job site services and equipment delivery, including trailer rentals, portable toilets, and utilities.

  • Participate in Teams meetings and collaborate with various departments.

  • Review owner contracts, change orders, subcontracts, and subcontractor change orders.

  • Gather closeout documents from subcontractors, including warranties, operation and maintenance manuals, and as-built drawings, and facilitate distribution to owners.

  • Conduct research on municipal licensing and registration requirements to ensure compliance with local regulations.

  • Facilitate employee travel arrangements and out-of-town lodging accommodations.

  • Cover the reception area in the absence of the Office Coordinator.

  • Manage incoming calls and direct them appropriately.

  • Welcome guests and provide refreshments.

  • Assist the Office Coordinator with inventory management and procurement.

Essential Skills

  • Associates Degree

  • Basic Excel skills

  • 2-3 years of experience with a general contractor or subcontractor

  • Complete understanding of waivers, strict insurance requirements and endorsements, and the pay ops cycle

  • Strong knowledge of what is on a Certificate of Insurance (COI), its endorsements, and its specific language

Additional Skills & Qualifications

  • Bachelor's degree in business administration or other related field (preferred)

  • 3+ years of experience with a general contractor or subcontractor as a project administrator, project coordinator, or other related title (preferred)

  • Strong tenure with previous companies (preferred)

Work Environment

This position requires working in the office for the first 90 days, with the flexibility to work from home one day per week thereafter. The work hours are flexible, typically 8-hour days including a 1-hour lunch break, with preferred hours from 8:00 AM to 5:00 PM. The corporate office is located in Rosemont and has a smaller team of around 35 employees. The candidate will work alongside 2 other Project Administrators, under the VP of finance, and several Project Managers. The work environment is dynamic, with the candidate managing around 5-6 projects at a time depending on size and scale.

Pay and Benefits

The pay range for this position is $31.25 - $40.86/hr.
