Pay Rate: $18.00-$20.00 (Pay information will vary depending upon relevant experience for the position)Full Time 37.5 hours Monday-Friday 7:00am-2:30pm
GENERAL SCOPE: This position has three main functions:
Will supervise, plan, organize and develop the Concierge Department’s functions. Duties include but are not limited to staff supervision, department payroll, managing the concierge center and main lobby, the concierge section of the Resident Events calendar for admissions and discharges and training new staff.
Will provide secretarial support to the Sr. Vice President of Housing, Director, Facilities Manager, Sales Counselor, and Community Life Coordinator.
Will serve as a friendly, approachable key point person to answer questions and coordinate services using the highest customer service standards for residents and visitors in a country club-style independent living community for older adults. Enhance the quality of life for residents in a manner that meets their unique needs, ensuring their comfort, safety, enjoyment and engagement within Rochester’s only Continuum Care Retirement Community.
EDUCATION / QUALIFICATION: College or high school graduate or equivalent, 2-3 supervisory and secretarial experience preferably in a health care setting. Must possess a positive attitude, be highly organized with secretarial training and proficient in MS Office. CPR/AED required.
ESSENTIAL FUNCTIONS:
Staff Supervision: Plan, develop, organize, evaluate and supervise the activities of the Summit Concierge staff. Ensure all Concierge staff are proficient in the performance of their tasks. Make employee counseling recommendations and conduct employee training as needed. Interviews candidates for open positions. Prepares and reviews employee performance appraisals as required. Hold staff meetings for all Summit Concierge staff. Perform weekly payroll reporting. Responsible for staff scheduling. Will work open hours for all 3 shifts if a replacement cannot be found. Responsible for remaining within departmental salary and operating budget guidelines.
Personalized Resident Support: Serve as the key point person to assist residents by scheduling appointments, transportation, and valet services. Submitting maintenance work orders, reserving community rooms, and coordinating appointments with administration.
Positive Interactions: Engage with residents in a friendly and respectful manner, always striving to provide positive interactions. Avoid using negative language, offer alternative solutions to meet residents’ requests and needs. Manage all situations, including challenging ones, with calmness and composure. Avoid emotional responses and maintain professionalism in handling complaints or difficult interactions. When an answer to a resident questions is unknown, proactively seek answer and follow-up with resident.
Visitor Management: Greet and welcome guests and oversee Guest Sign-In. Direct visitors to their destination.
Professional Presence: Maintain a professional demeanor at all times, with a friendly posture and presence that convey confidence and approachability. This includes being well-groomed, dressed appropriately for the setting, and ready to assist at any moment. Keep all areas neat, clean well-organized and safe at all times.
Security Enhancement: Maintain office security by following safety procedures and controlling access through the main entrance, Service Entrance, and Building One and Two’s Entrances. (Monitor visitor log and cameras).
Liaison Services: Act as a liaison between residents and various departments within the community, such as administration, dietary, maintenance, marketing, and activities to ensure resident needs and preferences are addressed.
Information and Referral Services: Offer information and referrals for external services and resources that residents may need, including medical services, local attractions, shopping, and entertainment options. Provide general information assistance to residents and visitors.
All other job duties assigned.
EXPERIENCE: Two (2) years with experience with computers and related software experience with MS Office and MS Outlook preferred, purchase order requests, filing, typing and office operations. 1-2 years supervisory experience preferred.
