University of Rochester Administrative Coordinator III in Rochester, New York

GENERAL PURPOSE:

The Access Coordinator within the Golisano Children’s Hospital Pediatric Practice as a member of the administrative team, provides secretarial and other access support to the primary care practice.. Type correspondence, reports, and other materials. Conduct information retrieval and data entry. Compile, organize, and maintain records of business transactions. Maintain moderately complex indexes and files. Open, sort and route incoming mail, answer correspondence and prepare outgoing mail. Maintain and update filing, inventory, mailing and database systems. Operate office machines such as photocopiers and scanners, voice mail systems and personal computers. Complete and mail bills, contracts, policies, invoices, and checks. Compile, copy, sort, and file records of office activities. Answer phones, direct calls, and take messages.

RESPONSIBILITIES:

General Secretarial Tasks:

  • Collects, sorts, routes and scans all incoming faxes, mail, and patient documents in a timely manner.

  • Maintains office equipment including fax, copier, phones, and personal computer.

Scheduling and Maintenance of Clinic spaces:

  • Maintains calendar for multi-use conference rooms and shared clinic spaces.

  • Coordinates Facilities and Maintenance requests for unit.

Telephone Management:

  • Answers phone in a timely and courteous manner.

  • Manages incoming clinic calls, sorts calls to appropriate staff.

  • Opens a telephone encounter in eRecord when speaking with patients.

  • Assures routing of encounter in eRecord to the appropriate staff/provider.

  • Coordinates outgoing calls related to major functions above.

  • Provides information to patients to minimize the need to distribute the telephone call, forwards calls, pages providers, and takes messages.

  • Assists with Outpatient Access R epresentative tasks as needed including appointment scheduling, in basket maintenance, check-in and check-out.

Customer interaction:

  • Assesses the urgency of a situation and determines the appropriate routing for the patient, serves as a focal point for handling complaints, utilizes service recovery concepts, serves as front-line problem solver.

Other tasks as assigned

QUALIFICATIONS:

Required:

  • High School diploma.

  • 2 years related work experience in an administrative office or customer service field; or an equivalent combination of education and experience.

Preferred:

  • Medical terminology experience.

  • Demonstrated ability to word process documents and enter data into a database.

  • Demonstrated skills related to achievement of customer satisfaction.

  • Responsible for monitoring own performance and assigned tasks.

  • Self-directed: must make complex decisions

  • Demonstrates the ICARE values to patient, families and staff.

  • Ability to act as a resource to less experienced staff.

Pay Range

Pay Range: $18.65 - $26.11 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
