Franklin Pierce University Associate Director of Admissions: Visitation and Event Coordinator in Rindge, New Hampshire

Job Summary:

Franklin Pierce University has an opening in the Admissions Department for an Associate Director:  Visitation and Event Manager. In this busy role, the Associate Director is responsible to maximize the visit experience for prospective students and their parents, leading and supervising on campus recruitment visitation programs that effectively promote the Franklin Pierce University experience while ensuring a high level of commitment to customer service. Provides direction and support for large on and off campus recruitment events and coordinate independently all admission visits including individual student visits, small group visits and overnight visits. Perform a variety of duties for the Director of Enrollment Operations and Vice President to assure the smooth operation of visitation programs. As an Associate Director, this position will participate in the recruitment and onboarding of a prospective student caseload. The person must be a contributing member of the Admissions team.

Reporting to the Vice President for Enrollment, and with a focus on customer service, the Associate Director will provide direction and support for large on- and off-campus recruitment events, as well as coordinate independent, individual day-to-day visits, small groups and overnight visits. Your strong organizational skills will also help with the smooth operation of the programs and the Admissions reception area.

POSITION DUTIES AND RESPONSIBILITIES:

Essential Functions of the Associate Director of Admissions position:

· Develops in consultation with the Director of Enrollment Operations and the Vice President, a visitation and events strategy that contributes to visitor’s favorable impression of, and the student’s desire to enroll at Franklin Pierce University.

· Manages and continues to improve the overall day to day efficiency and functions of the Admissions Office as it relates to the visitor experience, including students, parents, and school counselors who seek to engage with the University.

· Plans, schedules, organizes and executes all on and off campus recruitment events including but not limited to Open House events, off campus receptions and overnight programs.

· Articulates and facilitates all event marketing campaigns including the timeline of communications, content, copywriting, and quantity management.

· Responsible to provide University community with regular updates regarding visitation and recruitment events.

· Manages all requests for visits to the Rindge campus of Franklin Pierce University. Communicates by phone and email to identify the needs and expectations of prospective students and parents for their visit.

· Oversees and manages the online event management system to ensure accurate, timely and efficient event registration and logistics.

· Responsible for the appearance of the Admissions Office reception and interview rooms to ensure the comfort of guests and the availability and pleasant presentation of recruitment material.

· Plans for the parking needs of visitors and communicates with Campus Safety when additional parking needs are required.

· Manages all facility requests for the Office of Admissions.

· Develops and assigns work assignments and duties for all admissions staff for large recruitment events including Open House and Overnight Program..

· Serves as on-site and on-call troubleshooter to manage any issues in relation to event management or the visit experience.

· Develops and executes comprehensive communication plans with internal and external participants for all visitation programs including but not limited to individual day visits, overnight programming, open house events and external receptions

· Ensures a close collaboration with faculty, administrators, coaches and staff to coordinate on-campus interactions of student and parent visitors with such individuals outside the admissions office.

· Manages and facilitates contracts with outside vendors in consultation with the Franklin Pierce Purchasing Department.

· Designs, implements, analyzes surveys to measure effectiveness of on campus programs. Distributes survey results to senior administrators and develops remediation plans to correct ineffective or undesirable programming.

· Assists with the recruitment, training and supervision of qualified student employees for the Admissions Office.

· Analyzes data to provide comprehensive reports relating to matriculated yield and other data as needed.

· Oversees purchase requisition requests and invoice submission for the Office of Admissions events and visitation programming.

· Conducts research to ensure the Admissions Office stays abreast of trends in higher education, information, and visitor services industries.

· Responsible to identify, respond to and recruit academically qualified traditional or non-traditional students in accordance with the philosophy of the University.

· Represent Franklin Pierce University as a student recruiter within a designated geographic area: visit high schools to meet with school counselors and students, attend college fairs, and develop useful professional contacts.

· Interview prospective students to determine motivation, interest and ability to qualify for admission to Franklin Pierce University.

· Initiates, plans, and executes special projects in conjunction with the goals and objectives of the office.

· Other duties as assigned.

POSITION SPECIFICATIONS AND REQUIREMENTS:

Previous Experience: Knowledge of the college admissions process desirable.  Customer service and event planning experience required. 

Knowledge and Education:  Bachelor’s degree required, master's degree in student personnel, higher education administration, counseling, business or related field preferred plus experience, or a combination of education and experience from which comparable knowledge and skills are required.

Machines, Tools, Equipment, Electronic Devices and Software: Incumbent must possess knowledge of Microsoft software – Word, Excel, and Outlook. Proficiency with CRM programs, MS Office and social media desired.

License(s) and Certificate(s): Valid U.S. Driver’s License.
