Job Description

Role summary

As a key member of the UK Marine Defence Service Team reporting to the Head of the department, you will be responsible for delivering Commercial Support to the Marine Defence Service Project Manager and Service Account Manager community in our local office located in Portsmouth. The Commercial Assistant will be involved in project and service delivery activities to ensure smooth operations through efficient administrative, financial, and logistical assistance. This includes raising purchase requisitions, managing billing processes, supporting local office site management, and other general administrative duties as required.

Key responsibilities and tasks

  • Managing and coordinating customer and supplier interfaces on behalf of the Project Manager (PM) and Service Account Manager (SAM)

  • Supporting the PM and SAM with compiling contract variations for material cost, time extensions, etc.

  • Raising invoices and good receipting of fulfilled orders

  • Document control

  • Preparation of purchase requisitions in accordance with the company policies

  • Transmittals for key documents

  • Document and data storage administration

  • Filing contractual documents

  • Maintaining material commitment records to manage project purchases

  • Preparing cost summaries for time and material (T&M) services

  • Creating and managing customer financial file (including PO and Invoice registers)

  • Assisting with equipment shipping requirements

  • Supporting preparation of project documentation and reports

Local Office Site Management Support

  • Office maintenance and facility management tasks

  • Monitoring and replenishing office supplies and site consumables as needed

  • Arranging meetings, events, and other office functions

Liaison with other departments to:

  • Update schedules and material delivery forecasts

  • Progress project documents and drawings

  • Resolve billing discrepancies

Essential requirements

  • Proficient in the use of Microsoft Office software

  • Excellent communication skills

  • The ability to interface with people at all levels both with customers organisations and internally

  • Proactive nature with the ability to deliver and multitask

  • Committed to taking ownership for designated tasks

  • Strong organisational skills with impeccable attention to detail

  • Experience with ERP systems

  • Ability to obtain SC

Desired characteristics

  • Educated to A level or equivalent

  • Experience of SAP

  • Experience of working in a busy office environment

  • Understanding of basic contractual terms and conditions

  • Experience of working in Defence or Marine Industry

  • Experience of administrative or commercial support experience, preferably in a project or service-oriented environment
