The LifeX Grants & Contracts Manager manages administrative and financial operations for grants and contracts. This position is responsible to review and negotiate complex grants, contracts, and subcontracts; review and reconcile financial and grant documents; ensure compliance with policies, procedures, and regulations; and prepare and negotiate complex budgets and related documents. The role serves as a primary contact and resource regarding all aspects of research grants and contracts, update databases and accounts, and develop and facilitate operational policies and procedures.

The LifeX Grants & Contracts Manager provides primary accounting functions for all grant monitoring administration, compliance, grant accounting and financial reports of awarded grants through their final closing. This position will assist with the annual financial audit and ensure a timely and accurate quarterly accounting close. This includes the regular review of grant expenses, including project and budget reconciliations.

Job Summary

Manages administrative and financial operations for Research Grants & Contracts and reviews and negotiates complex grants, contracts, and subcontracts. Reviews and reconciles financial and grant documents and ensures compliance with policies, procedures, and regulations. Prepares and negotiates complex budgets and related documents. Serves as a primary contact and resource regarding all aspects of research grants and contracts, updates databases and accounts, and develops and facilitates operational policies and procedures.

Essential Functions

Job duties include, but are not limited to:

 

  • Manages grant accounting processes, including tracking expenses, reconciling accounts, and preparing financial reports for multiple government and private funding agencies.
  • Ensures compliance with grant regulations and guidelines, including monitoring grant expenditures and maintaining documentation.
  • Prepares and submits grant invoices and financial reports to funding agencies.
  • Collaborates with project managers to develop grant budgets and monitor spending.
  • Reviews and assists with outgoing grants/contracts to assure consistency of proposals, standard formatting, and compliance with funding guidelines.
  • Provides financial analysis and support for grant programs, including forecasting and budgeting.
  • Maintains accurate and up-to-date records of grant-related transactions and activities.
  • Assists with annual financial audit and act as liaison to independent audit firm to ensure audit process runs smoothly.
  • Maintains internal controls and safeguards for cash, revenue and expenditures while ensuring the integrity of all systems, processes and data.
  • Provides support for other accounting functions as needed, including assisting with Accounts Payable and other general accounting functions.
  • Assists Senior Director, Management and Grants Accounting with special projects related to grants/contracts management accounting, budgeting, business plans, financial analysis, etc.
  • Other related responsibilities as necessary to accomplish department objectives. Physical Effort
