The incumbent must have the ability to plan, organize, coordinate various details associated with the position. Incumbent should function autonomously in managing administrative responsibilities with minimal supervision and must be able to take direction, prioritize and coordinate several activities and/or projects at any given time. Additional duties as needed by the SHRS Office of the Dean. The incumbent must have proficiency in Microsoft Office programs.

A hybrid, flexible work arrangement may be available in consultation with supervisor.

Job Summary

Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.

Essential Functions

The School of Health and Rehabilitation Sciences Office of the Dean is seeking an experienced professional for the role of Administrative Assistant.

Responsibilities include:

  1. Provide operations and administrative support to SHRS Office of Dean.

  2. Facilities administration and planning, which includes oversight and coordination of facilities and space projects, parking, security.

  3. Collaboratively support associate and assistant deans and members of the office of the dean in their respective disciplines.

  4. Assist withscheduling, logistical support, and event management development/support including room reservations.

  5. Check postal mail, download documents from various portals, scan, and mail documents.

  6. Answer telephones and transfer calls, emails, provide general information and appropriately answer inquiries; manage and direct drop-in visits.

Must be organized with strong attention to detail, have stronginterpersonal communication skills,ability to balance multiple projects, and the capacity to react to changing priorities in a fast-paced environment.

Relevant administrative work experience and/or customer service are sought for this position.

Physical Effort

Sedentary position; must be able to lift or carry 25 pounds or less.
