Job Responsibilities

Responsibilities:

This position supports Workday and business administration activities and projects for the Fiscal Operations Department at Penn Dental Medicine. This includes providing administrative support and coordination in hiring, creating new positions, terminations, position discontinuations, and any other related budget, operational and Workday activities to support the operations of the School.

  • The role will help in creating job requisitions, hiring staff into positions, setting up compensation, updating costing allocations, management of weekly payroll/timesheets, processing incentives/additional pay requests, working with ISSS on employment-based immigration matters and processing pertaining to hiring international scholars (Visa/H1-B requests, F-1/J-1 students, etc.), working with faculty to appoint Post Doctoral fellows in the Post Doctoral Database and set-up in Workday. With supervision, administer all financial and administrative operations for the School/Center. – 10%

  • Work independently to manage, process, monitor and analyze revenue and expense transactions, purchasing card journals, weekly and monthly payroll and personnel activities, budget and forecast preparation and submission, expense reports and assets and work space updates. Will have direct financial activity oversight for a defined set of administrative departments. -20%

  • Processes or assists in monitoring payroll for department in a timely and accurate manner. – 20%

  • Analyze, check for accuracy and process with precision journal entries, purchase orders, asset/space tagging tasks, and financial expenses/reconciliations in various financial systems and databases. – 20%

  • Proactively assist and support Grants Managers and Fiscal Operations team members in implementing and executing new hire recruiting, onboarding, termination, salary allocations, faculty/scholar appointments, transactions approvals and reallocations based on department operational and team needs and commitments. – 10%

  • Coordinate and process monthly stale check reports to Comptroller's Office according to state guidelines. Follow up with mailings to payees requesting updated contact information to resubmit payments; perform necessary actions to ensure due diligence. Certify and maintain completeness of employee payroll documents, purchasing cardholder, and financial files which house highly sensitive/confidential information. Contact cardholders to obtain missing receipts/information. Provide original documents to appropriate individuals for filing/archiving. Coordinate archiving accounts with University Records Center. Assist Director and Associate Director with compilation of data as needed. – 15%

  • Other duties as assigned. – 5%

Qualifications

  • Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and

the pay range assigned to the job profile.
