Are you interested in joining Grundfos as a Software Asset Management Specialist? This role is essential in managing, controlling, and safeguarding software licenses across their lifecycle, from planning to optimization, to ensure compliance and risk reduction, following Information Technology Infrastructure Library (ITIL) Software Asset Management best practices. The Software Asset Management Specialist also serves as an advisor and collaborator for Information Services (IS) Delivery Areas and Grundfos, offering guidance on software use rights.

What is the Job all about?

The Software Asset Management Specialist, positioned within the Software Asset Management Team, will oversee over 2400 commercial applications across roughly 20,000 devices globally, reporting to the Head of the Chief Information Office (CIO) Office. The main collaborators include Service Engagement Management, Contract Management, User Experience, Service Desk/Onsite Support, Delivery Area Managers, Operational Excellence & Analytics, Service Management Solutions, Security Management, Finance, Purchasing, and external software vendors.

This role will report directly to the Senior IT Manager and will be part of the CIO Office department. The role will be on a hybrid work arrangement and will report to Grundfos office in Ortigas, Pasig City.

Your main responsibilities:

  • Monitor software usage and license allocation to identify opportunities for optimization, cost savings and risk mitigation within own license portfolio covering Clients, Servers, and SaaS.

  • Create analysis and license recommendation to support license expiry.

  • Execute harvesting and clean-up activities.

  • Monitor authorized/unauthorized software across the license portfolio.

  • Immerse yourself in identifying and monitoring the use of software to ensure compliance with licensing agreements.

  • SAM Process Driver, improving processes and procedures.

  • Dispatch and handle requests in Service Management tool (ServiceNow).

  • Maintain and optimize license management tool FlexNet Manager Suite (FNMS) – e.g. application recognition in FNMS based on evidence in conjunction with license registration.

  • Maintain accurate records of entitlement documentation e.g. invoice, delivery, license key, etc.

  • Provide license expertise and advisory to the organization on license conditions, agreements, and rules.

  • Stay up to date with industry trends, licensing models, and regulatory requirements to effectively manage software assets.

  • Microsoft Servers – continuous monitoring of usage and license allocation (Windows, System Center, SQL) and perform yearly true-up analysis calculation.

  • Oracle Server & Client – monitoring of usage and license allocation.

Your background:

  • High level of IT knowledge and experience from larger international company.

  • Min. 3-5 years of experience in License Management, Procurement or Software Asset Management.

  • Relevant certifications such as Certified Software Asset Management (CSAM) or Certified Software Licensing Professional (CSLP) is preferable.

  • Knowledge of software licensing models and compliance requirements in general.

  • Strong knowledge about Microsoft Server and Oracle Licensing.

  • Experience with Microsoft true-up analysis.

  • Strong English skills - oral and written.

  • SAM tool knowledge, preferable Flexera.

  • Expertise in use of ServiceNow.

  • Super User level on Microsoft Office 365

  • Strong in communication and collaboration skills, building and maintaining relationships with stakeholders at any organizational level

  • Basic ITIL knowledge
