Roles and Responsibilities:
Manages the day-to-day activities of the Document Control Specialists in the Construction Management (CM) Department (temporary employees, and consultants).
Serves as a liaison between the CM Department and the CP Electronic Systems & Records Management Department.
Trains/Instructs NJ TRANSIT CM staff and Document Control Specialists on managing electronic and/or paper-based information systems.
Interviews and recommends Document Control Specialist candidates for new construction projects.
Maintains CM Database, Enterprise Content Management System (ECMS) repository, and project logs for assigned construction projects.
Oversees document retention; implements procedures; assigns/forecasts projects; etc.
Review performance and productivity reports for all CM document control specialists.
Assign work/construction projects to Document Control Specialists in a way that optimizes productivity.
Oversees implementation and administration of electronic records/document management systems and other automation tools for CM.
Distribute weekly ECMS Reports to CM Document Control Specialists.
Applies state and federal records retention guidelines to all work.
Assist Manager with paperwork needed for temporary staffing invoices and other ad-hoc assignments as required.
This Position Supervises:
Document Control Specialists in CM
Education, Experience and Qualifications:
Bachelor’s degree and five (5) or more years of experience in records, document, and/or drawing management
Three (3) years of supervisory experience.
One year of closely related experience can be substituted for each year of education required.
Experience in developing, documenting, and implementing electronic records/document management systems, and working knowledge of Enterprise Content Management Systems is desired.
Experience with processing Construction documents, such as but not limited to Request for Information, Application for Payments, and Shop Drawings submissions preferred.
Excellent oral and written communication skills, strong presentation and training skills required.
Proficient computer skills in Microsoft Office Applications.
Detailed, solution-oriented and able to work independently are essential skills.
Working knowledge of records management and construction management database/software is highly preferred.

Working Environment:
P rimary working location Headquarters, with visits to various temporary field offices/trailers as needed/directed.
Physical Demands:
Must be able to lift 25 pounds (Archive Boxes)
