Summary
Provides support and assistance to the leadership team of their assigned section, within the Procurement and Logistics Department.
Reporting Responsibilities
Generates weekly, monthly, and quarterly status reports for Senior and Executive management.
Procurement Responsibilities
Creates, maintains, updates, and monitors the Procurement and Contractor Pre-Qualification System.
Maintains Davis-Bacon Prevailing Wage Determination files.
Assists with the development of bid/proposal documents for printed and web-based electronic bidding processes. Coordinates documents, maintains requisition and contract activity databases, and schedules pre-bid/proposals and site meetings.
Assists with the development of solicitation addenda. Issues contracts for execution. Prepares change orders to existing contracts. Follows-up with consultants/contractors to ensure return of executed contracts/change orders. Returns bid security to bidders as necessary. Interfaces with Procurement Intake Unit to coordinate reporting and to facilitate document control. Files and maintains Contracts and other Procurement documents.
Assists with the development of Board Item fact sheets and distributes Board items to Contract Specialists for their review and assures accuracy of information.
Division Administration Responsibilities
Schedules, coordinates and arranges for conferences and meetings with in-house and consultant/contractor staffs.
Tracks employee time and attendance in System. Coordinates staff schedules to eliminate conflicts.
Organizes and maintains the Director’s files and calendar. Assists Director with administrative tasks.
10.Substitutes for other Procurement Assistants and Procurement Coordinators as needed, and other duties as assigned.
Education Experience and Qualifications
Associates degree or minimum of four (4) years of related experience required.
Knowledge and Skills
Technology
Must be able to work proficiently in the following Systems of Record: ECMS, Microsoft Office Suite (Outlook, Access Databases, Excel Spreadsheets, Word, PowerPoint, Project, Teams), Adobe, Oracle ERP, Kronos, Bid Express, and other systems in use or under development. Systems may change over time.Communication
Must have excellent written and verbal communication skills required.Procurement
