Job Title: Administrative Assistant

Job Description

We are seeking a dedicated Administrative Assistant to provide comprehensive support to our management and staff. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Provide administrative support to management and staff.

  • Manage calendars, schedule appointments, and coordinate meetings.

  • Answer and direct phone calls, emails, and inquiries as needed.

  • Prepare, design, and organize documents, reports, and presentations.

  • Maintain and update the company SharePoint filing system.

  • Handle office supplies inventory and place orders when necessary.

  • Assist with planning and organizing company events, meetings, and other activities.

  • Prepare and submit expense reports and other financial documents for management and staff.

  • Ensure smooth office operations by managing administrative tasks as assigned.

  • Maintaining filing systems in paper form or electronically using databases

  • Answering telephone calls promptly

  • Experience performing administrative tasks such as answering phones, scheduling appointments, or maintaining records

  • Answering general queries in person, by telephone, or email

Additional Skills & Qualifications

  • A bachelor's degree in Business Administration, Sustainability, Project Management, Marketing, or a related field is preferred

  • A growing interest in the sustainability and energy industry

  • Experience in an administrative or office support role

  • Proficiency in Microsoft Office, Outlook, and Microsoft Excel

  • Clerical and administrative skills

  • Providing information about products and services to customers, clients, and partners

  • Answering or referring inquiries about business operations, policies, or procedures

  • Carrying out clerical support tasks such as organizing meetings, preparing presentations, and collating data

  • Scheduling and following up with appointments

  • Copying, scanning, and routing correspondence/documentation

Pay and Benefits

The pay range for this position is $17.00 - $22.00/hr.
