The Arboretum Human Resources (HR) Department is dedicated to cultivating an inclusive and equitable workplace by employing compassionate practices and strategic initiatives to support and empower every employee. This position, along with two HR professionals, will report to the Human Resources Manager. The HR Manager serves as a member of the Arboretum's Senior Leadership Team, providing guidance on organizational structure, employee and labor relations, compliance, performance management, and overall organizational development. In turn, the HR Manager reports to the Arboretum Executive Director, who oversees the Arboretum's overall operational and strategic direction, and coordinates closely with the CFANS Human Resources Director for alignment of the HR function. Leveraging the University-led PEAK initiative, the HR team will be providing the HR support necessary for consistent, high-quality processes for attracting and retaining approximately 250 year-round and seasonal employees (including Professional & Administrative (P&A), Civil Service, labor-represented, and temporary / casual employee groups). Job Overview Serving as the unit's Time and Absence Administrator, the role includes overseeing the biweekly payroll, resolving complex issues in collaboration with the CFANS Payroll Coordinator, researching regulatory requirements, completing all necessary documentation, coordinating the payroll close process, and ensuring accuracy for approximately 250 employees at the Minnesota Landscape Arboretum. The role is focused on creating a welcoming and inclusive workplace, providing employees with the resources and information they need to succeed. In addition to payroll management, this position is responsible for office management, and supporting HR projects with the HR team. The ideal candidate will be highly organized, detail-oriented, and committed to delivering exceptional customer service. Key Responsibilities Payroll (40%) * Serve as unit specialist on University payroll policy and procedures, under the guidance of the CFANS HR and Payroll Coordinator * Serve as Unit Time and Absence Administrator; lead internal auditing and quality control activities, including running reports and auditing payroll abstracts * Monitor, calculate, and ensure proper documentation of base wages and additional employee payments, including augmentation, reclassification, lump sum payments, stability payments, and general wage changes (market adjustments, merit, and labor-negotiated step or fiscal-year increases) * Track anticipated changes in employee a pointment status, leave balances, seniority, stability or other; escalate as appropriate (e.g. approaching limit to temp/casual employment, anticipated completion of probationary period (re: wage rate increases), exhaustion of leave balances, etc.) * Compute and enter distribution changes (including complex retro distributions) Onboarding and Offboarding (25%) * Draft and coordinate offer letters for temporary, casual, and student employees; confirm acceptance and facilitate background checks for selected candidates * Initiate and complete remote I-9 verification process, manage documentation in CFANS Box drive, and coordinate back-up during busy periods * Coordinate and review Position Management process * Communicate with Arboretum Membership to ensure timely processing of memberships for new and separating employees * Serve as a point of contact for new hires, addressing questions and providing support during their onboarding process * New Employee Orientation (NEO): contribute to monthly sessions with the HR team, providing information on payroll, policy, and practice; coordinate communication, registration, refreshments, set-up and take-down HR TDX Liaison/Navigator (20%) * Support Arboretum supervisors to complete HR TDX requests (Authorization, Post, Hire, Modify, End) * Coordinate mass change spreadsheets * Learn and continue to develop as a learned resource * Contribute to creation, maintenance, and continuous improvement of tools and recommend ideas for template and tool development Other Administrative Duties (15%) * With the HR team, maintain standard operating procedures for electronic maintenance of employee personnel files. * Ensure confidentiality and compliance with legal requirements, and collegiate and university policy and procedure * Manage inventory of HR office supplies, ensuring availability and timely reordering. * Oversee the purchasing card for HR-related expenses (as approved by HR Manager), track and reconcile transactions, and ensure compliance * Provide administrative support for various HR programs/projects, including correspondence, scheduling meetings, tracking progress, reporting, presentation, maintaining rosters and documentation * Other duties as assigned Qualifications Required Qualifications (must be mentioned on application/resume) * High School Diploma/GED and five years related Business Administration, Accounting, Finance, Human Resources, or related field experience to include project management.
