Description

We are offering a contract to hire employment opportunity for an Executive Assistant in the retail industry, based in Manhattan Beach, California. This role revolves around providing executive support, managing communications, and maintaining timekeeping systems.

Responsibilities include:

• Managing and maintaining executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.

• Taking on the role of liaison between the executive and staff or between the executive and external parties.

• Managing the usage of the Kronos Timekeeping System and ensuring its accuracy.

• Overseeing the use of the ADP - Financial Services system, facilitating financial transactions and record-keeping.

• Handling and directing all incoming and outgoing communication related to the executive office.

• Managing the CRM system, ensuring that all customer relationships are well maintained and customer inquiries are resolved promptly.

• Coordinating and setting up conference calls and meetings using Cisco Webex Meetings.

• Handling travel arrangements and expense reporting through Concur.

• Overseeing the management of the executive calendar, ensuring all appointments and meetings are updated.

• Drafting and managing correspondence on behalf of the executive office, ensuring timely and accurate communication.

Requirements • Must have proven experience in a similar role, preferably within the retail industry

• Proficient in ADP - Financial Services for managing financial tasks efficiently

• Familiarity with Cisco Webex Meetings for organizing and participating in virtual meetings

• Knowledge of Concur for managing expenses and invoices

• Experience with CRM systems to manage and analyze customer interactions and data

• Proficient in Kronos Timekeeping System and About Time for effective time management

• Strong skills in Calendar Management, including scheduling meetings and appointments

• Excellent Communication skills are essential for interacting with team members, clients, and senior executives

• Experience in organizing and facilitating Conference Calls

• Ability to handle Correspondence professionally, including emails, memos, and reports.
