As a GC&E Planning Manager , you will be responsible for the successful event planning and overall execution of all Group, Conference & Events that take place within the hotel. The GC&E Planning Manager will interact frequently with customers and Guests to learn about their needs and develop relationships from which to earn repeat and expanded business.
Primary Responsibilities:
Event Management:
·Full ownership of the entire event from the handover stage.
·Comprehensive planning of conferences, corporate events, social events and more.
·Handling accommodation requirements, such as rooming lists and adherence to attrition deadlines.
·Issuing contractual addendums for any changes to contracted items or additional items added to the event of significant value.
·Upselling opportunities such as but not limited to: Food, Drinks, Event space, accommodation etc.
Event Coordination:
·Building extensive banquet event orders.
·Following up on health & safety documentation to ensure all deadlines are met.
·Collecting all deposit payments in a timely manner prior to arrival.
·Managing final invoicing post-event.
System Maintenance:
·Matching revenue to costing sheets and addendums.
·Actualising revenue as per final numbers.
·Completing pick-up processes.
Additional Sales Involvement:
- Review business plans, identify gaps and ensure proactive efforts to fill capacity and meet set targets
- Contribute to the selling strategy of the hotel, and manage the departments’ adherence to achieving that strategy
- To raise invoices for Events in line with quotations and forward them to the accounts departments on a daily basis with relevant back up documentation to expedite payment
- Understand the competitive market place and implement approaches to ensure the hotel stays ahead in the local market

·Proven experience in event planning and event management. 1 yr Experience required
·Strong organizational skills with attention to detail.
·Excellent communication and interpersonal skills.
·Ability to manage multiple tasks and meet tight deadlines.
·Knowledge of health & safety regulations related to events.
·Proficiency in event management software and tools. (Delphi / Salesforce would be an advantage)
