Reports to: Principal and Treasurer

 

Job Objective: The Auxiliary Services Clerk is responsible for maintaining accurate records of auxiliary funds and state purchased materials for a nonpublic school.  Auxiliary Clerk performs duties that support the effective delivery of auxiliary operations.

 

Minimum Qualifications:

  • High school diploma. An acceptable score on a pre-employment test may be required
  • Post-secondary business school training or equivalent secretarial work experience is desirable Meets all mandated health requirements (e.g., a negative tuberculosis test, etc.).
  • A record free of criminal violations that would prohibit nonpublic school employment.
  • Complies with drug-free workplace rules and board policies.
  • Ability to interact comfortably and confidently with the public.
  • Keeps current with advances in technology and workplace innovations that enhance productivity. Consistently dependable. Flexible outlook.  Accepts new responsibilities/assignments willingly. Proficient in office protocol, data entry, spelling, proofreading, and the correct use of grammar. Record maintenance skills.  Ability to accurately compute and record mathematical data.
  • Energetic self-starter. Thorough, gives careful attention to details and effective customer-service.

     

Essential Functions: The following are typical work responsibilities. A reasonable accommodation may be made to enable a qualified individual with a disability to perform essential functions.

 

  • Maintain accurate current account of all expended and encumbered auxiliary funds. Monitor account balances.
  • Assist nonpublic school principal in preparing annual budget and completing required forms.
  • Maintain inventory of all auxiliary purchased textbooks, materials and equipment.
  • Administer textbook and materials loan program -- includes proper labeling, distribution and maintaining related documentation.
  • Prepare purchase order requisition encumbering auxiliary services monies. Receive and label all auxiliary purchased materials.
  • Assist auxiliary personnel -- perform clerical services and accompany students to and from site to ensure safety of children receiving services.
  • Communicate regularly with District Treasurer's office -- notify Treasurer for payment of auxiliary purchases.
  • Prepare required forms pertaining to auxiliary services.
  • Keeps informed about program and procedure changes.
  • Respects personal privacy. Maintains the confidentiality of privileged information.
  • Reports suspected child abuse and/or neglect to civil authorities as required by law.
  • Performs other specific job-related duties as directed.
