Purpose

Job Summary

Incumbent will provide clerical and receptionist support and assist physicians, nursing staff, patients, and family members.

Job Duties & Responsibilities

  • Screens all non-appointment nurse calls for emergencies per established protocols.

  • Establishes contact with the registered nurse when a family requests communication regarding a patient’s condition beyond the secretary’s scope of practice.

  • Receives calls and chart requests for patients calling for lab and x-ray results so the nurse can return the call with the correct information available during the call.

  • Serves as a contact for physicians expecting outside calls in provider-to-provider communication

  • Assist patients with special requests and direct them to the appropriate department when necessary.

  • Establishes and maintains effective communication and good working relationship with coworkers for the patient’s benefit.

  • Assist nurse/provider teams with scheduling patient appointments and referrals to local facilities.

  • Participates in staff committees as assigned.

  • Perform general clerical duties, including typing, filing, and maintaining the nursing department's staff calendar.

  • Receive, review, accurately, and immediately route incoming patient correspondence, reports, records, and forms to the appropriate nurse/provider team. We also use our Electronic Health Records messaging system to document all incoming patient phone calls.

  • Handles all daily mail delivery.

  • Notifies the biomedical coordinator and appropriate department director of faulty equipment.

  • Notifies Information Technology Department for computer, printer, copier, and fax machine malfunctions.

  • Performs other related duties as assigned by immediate supervisor.

    Minimum Qualifications (Education & Experience)

  • High school diploma or equivalent required.

  • On a year-for-year basis, a combination of relevant experience, education, and training may substitute for education and experience requirements.

    Preferred Qualifications (Education & Experience)

  • An associate's degree, two (2) years in Secretarial Science or a related field is preferred.

  • Experience in community clinic preferred and a solid commitment to multi-disciplinary teamwork.

    Necessary Knowledge, Skills, and Abilities

  • Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) Tribal culture and lifestyle, working effectively with AI/AN populations.

  • Effective oral and written communication skills with sensitivity to the lifestyles of targeted participants.

  • Skills in operating personal computers using a variety of computer software.

  • Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts.

  • Ability to maintain strict confidentiality and comply with all applicable federal and tribal privacy laws and KIC policy (HIPAA, HITECH, etc.).

  • Ability to learn and apply program/agency operating policies and procedures.

  • Ability to manage multiple priorities and tasks concurrently and meet deadlines.

  • Ability to work independently as well as with teams.

Conditions of Hire

  • May be required to possess and maintain a valid driver's license or capable of obtaining one, as well as be insurable by KIC’s company insurance.
