Position:
The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 1 for the Idaho Falls Regional Office.
Salary Range: $16.70–$18.78
Responsibilities:
· Administrative Support:
Provide administrative support for all programs and staff in the region.
Answer incoming telephone calls. Greet and direct visitors to appropriate staff.
Process incoming and outgoing mail and packages.
Prepare, proofread, and edit correspondence, documents, reports, and mailings.
Complete copy jobs, scanning and completing miscellaneous special projects as assigned.
Provide administrative review of engineering plans and specifications submittals for completeness.
Arrange service, maintenance, and repairs for vehicle fleet.
Assist staff with travel arrangements, travel reimbursements, and purchase card reconciliations.
Provide back-up administrative duties when other administrative staff is out of the office.
· Database Maintenance and Reports:
Use Microsoft Office products including Word, Excel and Access.
Conduct electronic record keeping and database input.
Prepare incoming and outgoing documents using Adobe Acrobat and the Electronic Data Management System (EDMS).
Enter data and quality assurance for drinking water bacteria and chemical lab results using Safe Drinking Water Information System and EDMS.
Maintain vehicle fleet mileage and maintenance reports.
Maintain plan and specifications databases.
Update, archive, and maintain electronic and hard copy files for all programs using EDMS and Laserfiche.
· Public Records Custodian
Process incoming public records requests (PRRs) following public information laws.
Disseminate, process, and punctually complete PRRs. Locate, retrieve, and return files, plans, specifications, and reports.
Prepare documents for delivery, which may include scanning, copying, and retrieving them from EDMS.
Send documents through JustFOIA.
Minimum Qualifications:
Good knowledge of:
- Office support functions including word processing, filing, and composing a variety of business documents.
Typically gained by at least one year of full-time work experience performing a wide variety of administrative support functions; OR formal training consisting of successful completion of an 18–24-month office administration course of study beyond high school. This coursework should have resulted in an Associate (A.A.) degree or equivalent to qualify. Work experience should consist of performing a wide variety of administrative support functions as the predominant responsibility of the job.
- Reception.
Typically gained by at least six months of full-time work experience with responsibility for answering business phones, greeting visitors, and screening callers for further access to staff.
- Gathering and compiling data.
Typically gained by at least one year of full-time work experience gathering information from a variety of sources to collect and compile requested information, and good knowledge of services, operations, or programs.
- Balancing and coordinating a workload for multiple projects.
Typically gained by at least one year of full-time office work experience which requires balancing, coordinating, and setting priorities for multiple projects with varying deadlines, or for multiple supervisors.
Physical Requirements:
• Ability to sit and work on a computer for 2-4 hours at a time.
• Ability to bend and reach for filing purposes.
• Ability to lift 30 pounds when working with file boxes.
• Some travel may be required.
• Occasional travel required.
Other Requirements:
· Valid driver’s license
