Robert Half Front Desk Coordinator in Honolulu, Hawaii

Description

We are offering a contract to permanent employment opportunity for a Front Desk Coordinator in Honolulu, Hawaii. In this role, you will be managing the reception area, overseeing administrative operations, maintaining relationships with office vendors, and coordinating travel for teammates. This role requires a candidate with strong administrative and organizational skills.

Responsibilities:

• Overseeing the reception area to ensure effective telephone and mail communications both internally and externally.

• Managing and overseeing daily incoming and outgoing checks, billing statements, and invoices.

• Building and maintaining relationships with office vendors to ensure the smooth operation and maintenance of office facilities.

• Collaborating with IT Department to ensure daily operations of all system technologies are properly functioning.

• Overseeing the unit’s filing system ensuring that files are appropriately labeled, contain specific information, and are properly secured.

• Negotiating the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.

• Managing parking and assignment of stalls to appropriate staff.

• Arranging internal office moves and providing arrangements for office meetings.

• Participating as needed in special projects as assigned.

Requirements

• Minimum of 3 years of experience in a similar role

• Proficiency in performing receptionist duties such as managing incoming calls, greeting visitors, and maintaining a clean and welcoming front desk area

• Demonstrated experience in administrative assistance tasks including data entry, scheduling, and correspondence management

• Experience in liaising with external vendors for various office needs

• Experience in handling contracts, ensuring they are properly filed and easily accessible

• Demonstrated ability to order office supplies and maintain inventory

• Experience in coordinating meetings, including scheduling, sending invites, and preparing necessary materials

• Familiarity with conference room setup and cleanup procedures

• Ability to manage special projects as assigned, ensuring timely completion and quality results

• Competency in using Apple Macintosh systems for various work tasks

• Proficiency in Microsoft Office Suites, including Word, Excel, PowerPoint, and Outlook.
