Description

PURPOSE:

The Support Services Manager is responsible for coordinating Grayslake transportation, including scheduling of routes, communicating with riders and their natural supports regarding changes (e.g. absences, delays, cancellation) as well as the training and evaluation of all drivers.

Additional responsibilities include assisting in developing, summarizing and evaluating statistical reports as they relate to attendance and billing, program outcomes, and providing essential communications to participants, staff and stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES:The list of essential duties and responsibilities, as outlined herein, is intended to be representative of the task to be performed.   1. Maintain a cooperative and active role with center supervisors and staff regarding daily operations and communication.2. Maintain documentation of staff information and participant emergency information and enrollment changes as it relates to Transportation.3. Complete PACE reports the first week of every month.4. Coordinate all vehicle related issues, including, but not limited to, safety lane inspections, oil changes and other regular vehicle maintenance, accident reporting and investigation, purchase and disposition of vehicles, and appearance upkeep inside and outside. 5. Supervise, hire, and coordinate with HR on all drivers.

Coordinate the posting of all appropriate public relations material in the designated area including the typing, copying, filing, posting, and distribution of material as necessary to sustain communications internally and externally.7. Provide assistance, input and research in the development of grants/proposals.8. Manage program card (formerly known as petty cash) access and any other cash funds.9. Provide backup to managers in the recording of staff time changes on timecards.10. Responsible for working with outside agencies, organizations, and individuals related to participants served at the center.11. Supervise assigned site employees – including on the job training, approval of benefit requests and timecards.12. Possess a general knowledge of all programs, policies and procedures.13. Perform any duties as assigned in the Safety Procedures manual during drills or emergencies.14. Serve as an effective role model for individuals served and staff. 15. Effectively communicate all issues, needs and problems concerning general operations to the Director.16. Act in a professional manner; observe participants’ rights and confidentiality pursuant to agency and HIPAA standards.17. Attend and contribute at meetings or committees - mandatory, assigned or selected. 18. Successfully complete Little City Foundation required training, re-training, and any additional training as required by policy, practice, or assignment by his/her immediate supervisor. This includes American Heart Association certification in First Aid and CPR and approved CPI training.19. Perform other reasonable duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

High School degree or equivalent required. Must possess appropriate supervisory and communication skills. General knowledge of office equipment and comfort with technology for data entry and creation of reports required. Must have the ability to become PACE driver certified as a backup driver and to coordinate with PACE agency requirements regarding training, maintenance and reporting. Must be able to meet requirements for LCF Active Drivers list and to transport individuals as needed.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:While performing the duties of this job, the employee is subject to sitting for prolonged periods; frequently walks, stands, grasps, lifts, holds, or feels objects; occasionally stoops, kneels, crouches, or crawls. The employee frequently is required to use manual and finger dexterity and eye-hand coordination when working and handling equipment. The employee is subject to assist and support up to 25 pounds with varying amounts of assistance on a reoccurring basis. The employee is required to have corrected vision and hearing within normal range and the ability to operate vehicles or equipment. Occasional occupational exposure to blood, body fluids, communicable diseases or other potentially infectious substances (Category II). Typical office environment.
