Primary Function of Organizational Unit
The Division of Extended Studies is a unit within the Academic Affairs division and is responsible for the administrative oversight of the distance, online, and continuing education initiatives at NCCU. Extended Studies provides support and resources to faculty and staff for the development, delivery, and assessment of online courses and programs.
Primary Purpose of Position
The primary purpose of this position is to maintain productive partnerships with internal and external stakeholders to plan and manage a successful Project Kitty Hawk admission process. This position will also lead in the implementation of projects that meet strategic services and provide highly effective data analysis to drive decisions supporting recruiting and admissions. Oversee all matters relating to the departmental review of applications, ensuring equal, fair, and timely consideration of all applicants applying to a Project Kitty Hawk online degree program. Sign off on all admission decisions (admission/rejection). Recruit a diverse, qualified and talented group of students to the university; assist with off-campus recruitment events, responding to student inquiries and conveying information about the university and the admissions process to prospective students, traveling to undergraduate college fairs, conferences, and programs to recruit students to the university. Assist assigned undergraduate programs with recruitment strategies, admission process improvements, and implementation.
Bachelor’s degree in a related field (Master’s degree preferred).
Previous experience in admissions and/or registrar services within a higher education institution is highly desirable.
Strong interpersonal and communication skills.
Detail-oriented with excellent organizational and time-management abilities.
Proficiency in using student information systems and related software.
Familiarity with relevant federal and state regulations related to student records

Required Knowledge, Skills, and Abilities
The successful candidate must possess a working knowledge of recruitment strategies, including prospective student management; knowledge of the production process and project management; knowledge of current software used by university; such as: Banner, Admissions Pros, Certiphi,; knowledge of web user interface issues and their resolution; knowledge of college admission setting with effective managerial, and human relations skills; ability to work effectively with students, peers and community organizations; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.
Minimum Education/Experience
Master’s degree; or an equivalent combination of a Bachelor’s degree and experience. All degrees must be received from appropriately accredited institutions.

Primary Responsibilities and Duties
Function Administrative
Describe the specific tasks and responsibilities related to the function.
Manages and oversee the Project Kitty Hawk online undergraduate application and admission process. Research and process official transcripts, review and processing of undergraduate applications, ensuring accuracy and completeness. Assist with the submission and approval process for approving incoming applications. Collaborate with academic departments to evaluate transfer credits and provide guidance on course equivalencies. Streamlines the undergraduate application/admission process. Develop flow charts, FAQ’s, critical dates and timelines with external and internal campus partners. Monitors applicants’ response to campus safety questions.
Authorizes applicants for screening process. Serve on campus and departmental committees related to enrollment management and admissions.
Interpret policies and procedures for the application/admission process to effectively manage.
Function Training and Education

Collaborate with colleagues in the Office of Admissions and Registrar to streamline processes and improve services.
Participate in ongoing professional development and training to stay current with admissions and registrar practices, policies, and technologies. Assist in the development of standard operating procedures and add content to the admission manual
Function Information Technology
Describe the specific tasks and responsibilities related to the function.
Implements and evaluates the business processes that enable the NCCU Online admissions to achieve Project Kitty Hawk admissions goals.
Analyze data and software to improve and maximize the management of PKH enrollment. Provides leadership to ensure the utilization of a variety of effective and best practices in admissions. Utilize current technology and lead the development of innovative strategies utilizing resources such as Admissions Pros, Parchment, National Clearing House, and Banner to support the division and university’s goals.
Monitors and evaluates the application.
Develops strong partnerships/alliances with academic departments and college community through timely communication and clearly established goals.
Recruit a diverse, qualified and talented group of students to the university; assist with off-campus recruitment events, host admission webinars and conveying information about the university and the admissions process to prospective students, traveling to undergraduate college fairs, conferences, and programs to recruit students to the university.
Assist PKH powered online undergraduate programs with recruitment strategies and implementation.

Communicates information to individuals or groups; deliver presentations suited to the characteristics and needs of the audience. Clearly and concisely convey information orally or in writing to individuals or groups to ensure that they understand the application process and information. Listen and respond appropriately to others using the appropriate media (e.g. e-mail, phone, presentations, etc.). Develops positive relationships while providing high quality service. Provide exceptional customer service to students, parents, faculty, and staff, addressing inquiries, concerns, and requests promptly and professionally. Serve as a resource for students navigating university policies and procedures.
Function Data/Information/Records Management

Maintain knowledge of state-of the art operational strategies, tools and techniques in higher education. Maintain and update the university’s student information system with accurate and current student data. Generate reports and compile statistical data related to admissions and registrar functions as needed for university reports and accreditation purposes. Ensure compliance with data privacy regulations and maintain the confidentiality of student records.
Maintains internal PKH undergraduate school databases of all student enrollment information. Prepare reports required for all components of Project Kitty Hawk undergraduate online degree programs. Generates electronic data reports to assist PKH program directors/coordinators in the advisement of applicants and admitted students.
