Position Summary:
The position of the HCM & Payroll Support Team Supervisor serves as part of a Payroll cross-functional team consisting of HCM/Payroll Support, Payroll Coordinators, and Payroll Processors. The teams collaborate by sharing information with identified campus staff, students, and system users, rotating as determined by team and leadership. This position advises, supports, and counsels university faculty, staff, students, retirees and their dependents through payroll policies and procedures and assists department users entering new or correctional payroll transactions into the Human Capital Management (HCM) system.
The HCM & Payroll Support Team Supervisor provides guidance, service, support, and counseling to the university faculty, staff, students, and retirees by providing assistance with payroll programs, policies, and procedures as well as on-going participation in seminar and educational sessions. This position also serves as a subject matter expert to users of the PeopleSoft HCM system. The HCM Support Team Program Manager is responsible for overseeing and managing the day-to-day functions while gaining knowledge of more in-depth payroll and system practices.
This position will provide leadership, supervise, support, and advise a team of HCM Support Professionals. This position will determine the customer’s knowledge base to educate them on appropriate procedures to ensure timely and accurate payroll payments and may guide users to the appropriate resource materials and training guides. This position may, at times, raise issues to other leaders on the team or other departments.
The HCM & Payroll Support Team Supervisor reports to the Assistant Director of Payroll Operations and is exempt from the State of Colorado Classified Staff system.

This role is eligible to work remotely within the United States, but preference will be given to applicants who live in Colorado or are willing to move to Colorado.

Duties and Responsibilities:
Team Management and Leadership
Overseeing and supporting the team of HCM Support Professionals
Individually meet with each team member on a recurring basis to access their needs and provide guidance and feedback on job performance.
Participates in the performance review process for team members and provides appropriate feedback as part of the evaluation process
In collaboration with team members, establish individual and team goals – checking in on a regular basis to assist in achieving the goals.
Assist in recruiting efforts including the review of applications, addressing applicants’ questions, scheduling, and conducting interviews, recommending candidates to hire.
Train new and existing team members and share knowledge as it is acquired.
Oversee phone scheduling and team attendance to ensure adequate coverage at all times.
HCM Support
Actively reviews processes and procedures in search of opportunities to improve accuracy and efficiency.
Reviews and assists in the development of step-by-step guidelines for the team and campus users as well as communications for publication within the Employee Services newsletter and HCM Community website.
Supports Tier 1 and Tier 2 payroll processing questions regarding processing off-cycle payments, bank pulls, letters requesting salary information, and other payroll support tasks.
Supports campus users regarding CU’s payroll policies and procedures and HCM system questions with position data, job data, personal data, and time collection.
Assist in resolving issues in a timely manner related to payroll, HCM data, Time and Attendance, Absence Management, and CU’s Applicant Tracking and Recruiting system.
Collaborate with other members of the payroll cross-functional team regarding issues that have been raised.
Collaborates with other departments and teams across CU on issue resolution.
Provide timely feedback to the organization regarding service failures or customer concerns.
Build sustainable relationships with team and campus staff through trust and open and interactive communication.
Track all escalations and calls via the ticketing system.
Adhere to established metrics with regards to ticket closure.
Take inbound calls in partnership with the HCM Support Team.
Manage and monitor ticketing system and phone system daily for accuracy and appropriate responses, assisting team members to close tickets in a timely manner.
Provide call and ticket status reports and data to leadership to aid in service level commitment tracking
Provide various efficiency reports to leadership (response time, ticketing closure, etc.).
Participate in cross-department projects including system upgrade and implementations.
Liaison to the Learning and Development Department and Outreach team to assist with implementation training as well as revision of current training and documentation.
Hosts and runs support team meetings.
Completes other duties as assigned.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Minimum Qualifications:
Bachelor’s degree from an accredited institution of higher education (education requirement may be substituted by professional experience, including four years’ experience in a fast-paced Customer Service environment).
Five (5) years’ professional experience assisting and supporting payroll processing activities, which may also include working in a customer service capacity.
Preferred Qualifications:
Seven (7) years’ professional experience, as stated above
One (1) year of experience in a team lead or supervisory role, which may include assigning and reviewing the work of others, providing guidance to internal and external team members, and/or assisting management with performance reviews (this requirement may be substituted by formal leadership training)
Experience in Higher Education environments
Experience with PeopleSoft HCM system
Experience with basic paycheck calculations and the impact on the paycheck such at taxes and other deductions
Professional Payroll certifications (CPP/FPC)
Knowledge, Skills, and Abilities:
Knowledge of payroll processes and procedures.
Ability to work independently and to handle multiple concurrent tasks and responsibilities, and able to handle changing priorities, while maintaining personal effectiveness.
·Ability to deliver a high level of customer service.
Computer skills, includingthe ability to use Microsoft Office programs (i.e. Word, Excel, PowerPoint, Outlook) and learn and experiment with new software and systems
Ability to lead and train teams.
Ability to establish and maintain good working relationships with co-workers, supervisors, other University personnel, and the public.
Ability to interpret and use software systems, such as PeopleSoft HCM
Oral, written, and listening communication skills, including the ability to accurately interpret what others are saying and convey messages, information, concepts, and details accurately and clearly
