Duties/Responsibilities

  • Manage and oversee all aspects of conference center operations, including event planning, coordination, and execution using active communication and team leadership skills. Provide overall direction, coordination, and ongoing evaluation of conference center operations.

  • Coordinate and plan events, including setting up rooms, arranging catering, and ensuring all technical equipment is available and operational. Work well under pressure and manage time of self and team wisely with the ability to make decisions using tact, customer service and diplomacy.

  • Act as the primary point of contact for clients and vendors, answering queries, resolving issues, and maintaining strong professional relationships.

  • Ensure all aspects of events are planned and executed to the highest standards and demonstrates a willing attitude to take on new tasks, which may be unfamiliar.

  • Ensure client satisfaction by providing high-quality services and resolving any issues promptly.

  • Coordinate with various departments to ensure smooth operation of events.

  • Manage all event set-up, tear down, and follow-up processes.

  • Familiarity with event management software and other technological tools that enhance event planning and execution.

  • Proficiency in setting up and troubleshooting AV equipment to ensure optimal functionality during events.

  • Monitor the maintenance and upkeep of the center’s facilities, arranging repairs and improvements as needed.

  • Develop and implement policies and procedures to streamline operations and ensure efficient service delivery.

  • Develop guidelines for audio-visual operational protocols.

  • Maintain the center’s budget, including tracking expenses and reviewing financial reports.

  • Negotiate contracts with vendors (i.e., caterers, A/V, contractors).

  • Ensure all Scottish Rite policies and procedures are adhered to.

    Required Skills/Abilities

  • Bachelor’s degree in hospitality management, Business Administration, or a related field.

  • Minimum 5 years of experience in Hospitality Management or a related field; positions of increasingly greater responsibility are required.

  • Ability to work well under pressure and handle multiple projects simultaneously.

  • Strong communication skills; work cooperatively with others to achieve common goals and contribute to the effectiveness of the team.

  • Demonstrate a passion for doing what’s right for the organization; be able to seek and understand customer needs and know how to satisfy them.

  • Assertive individual who takes initiative and leads by example.

  • Technical understanding of systems such as Microsoft 365, Teams, Zoom, and other relevant software.

  • Working knowledge of Crestron technology and devices a plus.

  • Must be able to lift, push, pull, and carry up to 50 lbs and must be able to stand, stoop, bend, crawl, reach above and below shoulders, repetitive arm and wrist use, climb ladders and stairs, and walk on uneven surfaces.
