Position Summary

As the Vehicle Allocation Manager at Subaru of America (SOA), you'll oversee the allocation of over $1 billion in vehicles monthly, managing both the vehicle wholesaling process and accessory applications. This role is pivotal in developing and maintaining efficient vehicle supply chain operations, ensuring timely distribution, and enhancing SOA Field and retailer satisfaction while upholding SOA’s profitability and compliance standards. This position also oversees coordination and follow-through of the Fixed Operations strategy for port-installed vehicle accessory sales, annual goals, and monthly targets.

Major Responsibilities

  • Manages the vehicle wholesale allocation (approximately $1 billion+/month) and technical processes of the monthly Subaru of America (SOA) Retailer Allocation, including the creation of Vehicle Order Numbers (VONs) in the Vehicle Planning System (VPS) and management of the allocation in the Subaru Allocation Manager (SAM) software.

  • Manages approximately $20+ million in vehicle accessory application in partnership with Port & Logistics group, Accessories Planning Team, and Regional Distribution Managers. Evaluates monthly needs and goals to create a well-balanced relation to sales and demand with the Accessory Planning team to meet the organizational Per New Vehicle Wholesaled (PNVW) target. Leads internal team discussions to review all parts/accessories and manages what is available for allocation at the ports as it pertains to PNVW.

  • Identifies strategic and tactical Information Technology (IT) needs regarding inventory management at the corporate and retail level. Manages issues and provides guidance to the Field for Subaru Allocation Management (SAM), Sold Orders, and the Retailer Order System (ROS).

  • Effectively analyzes and reports system-assigned allocation quantities, before allocation release, to ensure that the proper distribution of Internal Combustion Engine (ICE) and Battery Electric Vehicle (BEV) vehicle quantities are meeting government regulations, on a state-level basis, in conjunction with the Vehicle Planning and EV Strategy Planning teams.

  • Ensures that processes are running as expected, addressing issues with IT and/or other internal stakeholders, and proposes, creates, and approves solutions to inefficiencies or problems. Determines and decides which system updates are needed based on demands of the business. Develops and manages detailed project schedules that account for dependencies between projects. Defines project scope, objectives, and deliverables. Understands project resource allocation and maintains responsibility for meeting monthly deadlines for allocation timing.

  • Maintains responsibility for Field issues relating to sales operations in general and allocations and sold orders specifically. Solves issues that impact operation of the supply chain, sold orders, allocations, etc., including system breakage and system errors, by utilizing resources, researching and implementing fixes, and gathering consensus from key stakeholders for decisions that have a large impact on the business or require a change in process. Elevates ongoing issues to upper management to suggest future system improvements.

  • Manages the Sold Order System, including order origination, on-time delivery, and audit procedures. Works with various IT personnel as well as key stakeholders in other departments that are impacted by our systems (including Fixed Operations and Marketing) to ensure that Vehicle Planning System and Sold Order System are operating as intended. Serves as liaison between the IT team and business stakeholders. Develops new processes to address changes to vehicle volume and challenges that arise. Determines Sold Order System data management procedures, including auditing procedures and reporting standards, and works with Finance’s Internal Audit leadership to ensure data integrity.

  • Identifies development of long-term plans for allocation systems improvement by assessing, analyzing, and auditing data flow from Subaru Corporation (SBR) and working with the Supply Chain team to fully leverage that data into SOA’s systems. Works with upper management to effectively isolate supply chain disruptions and determine strategic changes that are needed to improve supply chain and solve critical problems.

Additional Responsibilities

  • Communicates with Regional and Zone staff on allocation strategy and results based on performance.

  • Develops reports and analyzes the results of the monthly allocation process results by completing and updating reports and supporting the Regions in all steps of managing an allocation.

  • Develops and maintains system documentation for all allocation, supply, and sold order systems.

  • Manages the daily sold order process with Regions, retailers, and customers, including researching aging sold orders without Vehicle Identification Numbers (VINs). Reviews data from allocation system, determines where Sold Orders are failing, and manages port swapping to ensure that sold orders are filled in a timely manner.

Required Skills and Personal Qualifications

  • Specific knowledge of SOA’s vehicle ordering, allocation, and shipment processes, or extensive and relevant experience with large-scale corporate-level supply chain systems.

  • Ability to effectively communicate across all levels of the organization, including with Field Sales group, Regional Distribution Departments, and with Information Technology (IT) group and to understand project management protocols.

  • Strong working knowledge of the Subaru vehicle allocation, supply, and sold order systems, and SAM (Subaru Allocation Manager).

  • Excellent Microsoft Excel skills including pivot tables, merges, and lookup functions.

Education/Experience Requirements: BA/BS with eight (8) to ten (10) years of relevant experience

Work Environment

  • Hybrid Role: Remote work 2 days per week (After 90 Days Onboarding)

  • Internal Work Environment: Prolonged sitting at desk ad working on computer. Some nights, Saturday responsibilities, and extended workdays are required

  • Required Travel: 2-5%

Compensation: The recruiting base salary range for this full-time position is $86700- $110000 / year. Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training.
