Job Summary: This position is the administrative support for University Senate. University Senate is the campus governance body that produces official recommendations in the form of resolutions. The University Senate processes up to 120 proposals a semester that are routed through various committees and distributed to a wide range of constitutes. The incumbent will provide administrative support to the organization.

Essential Functions:

• Managing day-to-day operations of the University Senate.

• Greeting visitors to the University Senate office, answering inquiries, and directing traffic.

• Answering incoming calls, taking messages, and forwarding calls.

• Responding to or distributing email.

• Maintaining University Senate file shares including folder and file permissions.

• Creating accessible PDFs of documents for distribution to the University Senate.

• Opening, logging, and routing all incoming mail

• Logging and tracking all submitted Senate proposals

• Logging and tracking all Senate resolutions

• Processing outgoing mail.

• Coordinating University Senate meetings including preparing agendas, sign-in sheets, maintaining voting devices and taking and correcting minutes.

• Handling all travel paperwork for University Senate business.

• Maintaining the Senate website and roster of Senators and Guests.

• Maintaining State and Foundation budgets.

• Reconciling department credit card.

• Ordering office supplies and purchases to support University Senate.

• Supervising work-study students and managing timesheets for work-study students.

Minimum Qualifications:

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):

Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

In lieu of two years of experience, certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology, may be substituted.

COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):

Candidates must have permanent appointment in an Administrative Assistant 1 New York State classified position (or be eligible for a 70.1 transfer) or be reachable for appointment on the current NYS Civil Service eligible list for Administrative Assistant Trainee 1, Full Time - Brockport location.

OR

Transfer eligible candidates who have completed one year of service in title are eligible to transfer into the Administrative Assistant Traineeship, up to a two salary grade jump, at the first level, second level OR full title, dependent on what coursework they have completed - (Non-Keyboarding titles will be required to take a typing test.)

Preferred Qualifications:

• Familiarity with Adobe Acrobat Pro

• Familiarity with MS Teams

• Understanding of permission and creating links to files

• Experience taking meeting minutes

Work Schedule: 20 hours a week, Monday 2:00pm - 6:00pm; Tuesday - Friday 12:00pm - 4:00pm

Salary and Benefits:

$23,153
