Seize the opportunity to contribute to the Idaho Department of Parks and Recreation as we seek a skilled individual to serve as the dedicated Executive Assistant
The Executive Assistant role in the Department of Parks and Recreation provides comprehensive administrative support to the Director and the Executive Team. This position encompasses a diverse range of office management and administrative duties to support the department. The executive assistant works closely with the Idaho Department of Parks and Recreation Board, which provides oversight for the agency. The board consists of members appointed by the governor, representing six different districts across the state. With strong public relations and liaison skills, the executive assistant collaborates effectively with federal, state, tribal, and local officials, as well as members of stakeholder groups and the public. They engage with individuals and groups who have interests and activities related to the Department of Parks and Recreation. Operating with a high level of autonomy, the executive assistant exercises judgment in implementing departmental policies and procedures to accomplish the organization's mission. Moreover, they handle sensitive and classified information with utmost discretion, ensuring confidentiality, professionalism, and candor.

Example of Duties
Serves as the point of contact among state, federal and local government officials, agencies, and the public for the Department of Parks and Recreation Director.
Manages the information flow in a timely and accurate manner.
Screens, redirects, or handles emails and phone calls to the Agency Director as appropriate.
Manages the Agency Director’s calendar, schedules appointments, and makes travel arrangements.
Ensures the Agency Director is on time and prepared for all meetings throughout the day.
Manages short-term and long-term calendars of events and activities for the Executive Leadership team.
Helps plan and coordinate conferences, events and public meetings hosted by the Department, including preparing agendas, arranging logistics, taking minutes, and maintaining Board records.
Compose, review, file and route official correspondence and memorandums.
Coordinates with relevant office staff to establish designated attendees/speakers to fulfill event requests.
Greets visitors and performs related duties as directed.
Performs key office support functions such as: data entry, filing, supply ordering, and record keeping.
Collaborates with stakeholder groups and government entities.
Additional Functions
Contributes to the positive performance of the Agency Director, the Board and the Executive team.
Demonstrates timely and consistent attendance.
Travel around the state approximately 20% of the time.
Monitor the Director’s office budget and expenses.
Perform other duties as assigned by the Director.
Minimum Qualifications
Experience:
Interpreting and applying regulations or policies and procedures
Planning, organizing, implementing, and evaluating special projects
Independently researching, compiling, developing and summarizing material for reports on a frequent or recurring basis
Analyzing information, identifying problems, defining alternatives and developing recommendations for management/administrators
Preferred candidates will possess:
