As a Senior Executive Assistant, you will accurately and timely perform a range of high-level administrative duties directly for the Executive Team and indirectly for other Officers, the Board of Directors and Committees while maintaining good working relationships with employees and business contacts. Perform diverse, advanced and confidential administrative support functions. Support the Bank's organizational goals and value. In this role you'll have the opportunity to: Responsible for providing a high level of executive administrative support. Assist other members of Executive Management Team as requested. Responsible for obtaining information to complete reports on sensitive or special management communications. Coordinate and organize project activities information (data collection, documentation, report creation, budget information, etc). Assist with creation and modification of presentations, spreadsheets, and other various documents Responsible for utilizing strong interpersonal skills and discretion to screen calls, greet internal and external guests, and interact on the Executive's behalf with professionalism and diplomacy. Plan and maintain as complex calendar; schedule meetings and anticipate and manage deadlines. Prepare and coordinate agenda and meeting reminders for various meetings. Responsible for organizing and maintaining business files, paper-flow, and contracts (vendor contracts, project documentation, business contacts, etc). Responsible for managing employee travel in accordance with company practices. Negotiate with travel service providers and recommend changes to travel processes to enhance service and minimize costs. Handles all reservations/registrations for event planning and meeting coordination. Responsible for complying with policies, procedures, security requirements, and government regulations. Education & Certifications H.S. Diploma: required (an equivalent combination of education and experience may be considered) Experience 4 or more years of executive administrative experience required Preferred previous office administration experience preferably within a large and complex financial services or similar organization Knowledge, Skills and Abilities Ability to accurately plan and perform multiple tasks with competing priorities in a deadline driven environment while rapidly adapting to change. Ability to relieve superior of details and provide concise information. Possess strong excellent judgment, written and verbal communication, presentation, time management, organizational, creative thinking, conflict resolution, and decision-making skills. Ability to work with all levels of staff and executive management. Ability to maintain a high level of confidentiality when handling sensitive documents or communications. Advanced interpersonal skills with the ability to use discretion and integrity when handling confidential information. Ability to communicate effectively with tact and diplomacy.
