Overview

The Payroll Assistant will provide administrative support to the Payroll team and assist with day-to-day payroll functions.

Responsibilities

  1. Serve as the first point-of-contact for payroll questions and issues. Provide appropriate resolutions and escalate to appropriate staff members as needed.

  2. Supports biweekly payroll processing both on and off cycle including calculations, reconciliation of employee changes, reporting of payroll deductions and overtime calculations.

  3. Support payroll year end tasks such as assisting with W-2 processing, verification of employee addresses for W-2 processing and reprinting W-2’s at employees’ request.

  4. Assist with accurate processing of routine requests, such as employee address changes to ensure appropriate taxation, vacation payout requests in conjunction with employee giving campaigns and employee hardship requests, and imputed income payments for tuition and other non-cash benefits.

  5. Assist with processing computer purchase payments, Liberty Mutual insurance premiums, Denton Cooley, Maryland Transit Administration transit vouchers, and other miscellaneous payroll deductions.

  6. Assist with preparation of manual paychecks due to payroll corrections. Maintain communication with involved parties for paycheck delivery and/or receipt.

  7. Assist with maintaining employee leave balances by running appropriate data queries and reports, processing jobs during on and off cycle payroll runs.

  8. Support payroll processing by assisting with the yearend balancing of Free Day allotment, monitoring Free Day usage through Kronos in the transition from one year to the next, and validating and uploading employee sick and safe balances.

  9. Assist with confirmation of proper balance transfers and manual leave balance updates when employees move positions and/or departments or become ineligible for accruals.

  10. Verify absence plan termination and vacation payouts during payroll processing.

  11. Monitor special incentive reporting to ensure proper payment and funding sources updates.

Qualifications

EDUCATION:

  • High School Diploma or GED required.

  • Associate degree in accounting, finance, business administration, or a related discipline preferred.

EXPERIENCE:

Previous secretarial, clerical, administrative support, or payroll experience preferred, preferably in a hospital and/or academic environment.
