St. Mary's Healthcare Health Information Management Assistant in Amsterdam, New York

Job Requisition: REQ2865 Employment Type: Per Diem *Temporary Shift: Days Hours Per Week: As needed

Hiring Range : $15.55-$20.22

The actual compensation for this position will be determined based on experience and other factors permitted by law.

Responsibilities:

• Receives, analyzes, processes and files health information for completeness, timeliness and accuracy.

• Maintains smooth operational flow by assisting with general clerical duties, i.e. answering phones for medical record requests, faxing medical records for continuation of care, assisting patients requesting their COVID-19 results in a confidential and secure manner via electronic encrypted secure email, fax, mail or at-the-window in the department when picking up records according to the patient’s reasonable requests.

• Audits accuracy of electronic and manual entry, and facilitates resolution of any discrepancies regarding medical record completion/accuracy to parties within and outside the department.

• Prepares certification documents and letters to courts, requesters and patients regarding medical records requests.

• Extracts documents from the Electronic Medical Record, plus Legacy systems in .pdf format on disc for insurance companies utilizing shared folders for the purpose of payment of services and other contractual needs to fulfill the needs of the patients or their representative requesting their records who are assisting our patients.

• Deposits checks for payment of medical records produced in paper or electronic format.

• Processes requests for release of information according to hospital policy, state, public health and other regulatory requirements. Escalate requests for release to local Legal Department that appear invalid or otherwise missing what is required for further review as needed.

• Notifies physicians and appropriate parties of requests of incomplete charts to ensure completeness and accuracy of medical records to be released in a timely manner according to rules and regulations for release of medical records.

• Ensures the security of medical records by documenting requests on a HIPAA compliant hospital form to ensure only qualified persons receive any protected health information.

• Other duties as assigned by Management and cross-training as needed.

Complexity of Work: • Within scope of job, this position requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment with multiple tasks occurring simultaneously. Must be customer service oriented with skills to assist patients seeking to request their records according to the retention policy, state and federal rules and regulations.

Personal Protective Equipment: • Follows Standard Precautions using personal protective equipment as required.

Education:

• High school diploma or GED required.

Must be able to speak, read, write and follow instructions in English.
